This page describes the roles we have for the RUHS Wrestling Parent Booster
Some of the roles may overlap and provide general guidelines. Most of these roles assumes a non-teacher coach. Some of these responsibilities could merge as a on-site teacher can provide more fuild access to information and Athletics Department coordination.
Parent Communication Coordinator
This person is the primary communication hub between COACHES and all the parents. The Parent Communication Coordinator works with the coach to create a Directory of Primary and Secondary Parent/Guardian contacts for every wrestler on the team and create a shareable document for distribution to the Coach and all other Parent Coordinators. The Communication Coordinator also creates an email distribution list to be used for important communication with all of the parents. Generally, Coach Cathey will communicate through the Parent Communication Coordinator who uses email and the BAND app to relay important information to the RUHS Wrestling Family. Other Parent Booster Roles may also wish to communicate important information to the parents through the Parent Communication Coordinator. This person should be comfortable with email and the BAND app and having working familiarity with Word and/or Excel and Google Docs.
Away Dual & Weekend Tournament Transportation coordinator
Buses are expensive and not always the most flexible mode of transport for the team. As a result, we do a volunteer rotation for carpools to Away Duals and Weekend Tournaments. We are super grateful to everyone that helps out with this. It is also a great way to connect with the kids on the team. The Away Dual & Weekend Tournament Transportation coordinator works with Coach Cathey to arrange for enough drivers to support the team when we need to get them to a location away from RUHS. This involves getting a count from coach of how many wrestlers need transportation (and where they are going) and then communicating that out to all the parents. In the past Transportation Coordinator has used the “poll option” in the BAND app to confirm and coordinate drivers. The Transportation Coordinator keeps a running tally of the drivers who have volunteered and how many “seats” they have and communicates that information to Coach Cathey. Away Dual Snacks & Weekend Tournament Meals Coordinator
We provide snacks and hydration for Duals that the team has to travel away to attend. We also do a volunteer rotation for pre-event meals on the weekends the kids are at tournament. In the past if the group is smaller in size we have gone to a restaurant for breakfast. In this case the Meals coordinator usually identifies a restaurant that is close to the location where the team is competing and coordinates with them in advance. A limited menu is provided for the wrestlers to select what they want and this is then communicated to the restaurant and ordered just ahead of our arrival. Generally one person pays and then all the wrestlers or their parents provide cash or Venmo reimbursement. In the case of a large group, traditionally we opt for a breakfast buffet that we set up for the kids at the location where they are competing and somewhere near where they weigh in. We take volunteers for those brave souls who want to help with set up and clean up and we also love those who want to provide food donations or cash donations to help us provide quality meals and snacks for the kids. We also provide grab and go sandwiches and fruit and snacks and water for them throughout the day. The Snacks & Meals Coordinator coordinates and organizes food and money donations and also coordinates volunteers for set up and clean up at the Duals and/or Weekend tournaments. They also make sure there are napkins, plates, utensils etc. This person should be comfortable keeping track of and handling money. Technology/Dual Live Streaming Coordinator
Wrestling Duals and Tournaments can be very exciting to watch. Unfortunately, not everyone can travel with the team to the Duals and/or Tournaments so the Parent Boosters started Live Streaming the Duals as a service to our RUHS wrestling family. In the past this was done using a laptop (sometimes 2), a webcam (sometimes 2) and Zoom. A link would be sent out in advance of a Dual or a Tournament and could be shared with extended family. This was offered as a free service to our wrestling families and extended family and friends. In the current day and age, there are a number of technology options allowing for Live Streaming of events, so it is up to the Technology Coordinator to decide on the easiest, best and most cost-effective way to provide this service. The Technology Coordinator is also responsible for communicating the information about the live stream to the RUHS Wrestling parents. This person should be comfortable with technology and live streaming. They should be familiar with web cams and other video devices. They should also be comfortable with email and the BAND app. Here are some samples of the Live Streamed Dual Notification emails.
Fundraising & Financial Coordinator
As with all student athletics, running a wrestling program costs money. We want to afford our kids with a variety of opportunities and that means fundraising. Typically, we do a couple of “participation” fundraisers like a Silent Auction and a Car Wash. The team also uses SnapRaise as an easy option to build financial resources for the team. SnapRaise is an athletic fundraising service that has made fundraising an easy online experience. They provide an advisor on their end and the wrestlers set a goal and provide email addresses of their family and friends. Snapraise sets up an “email campaign” and a fundraising web page for each wrestler. The Fundraising & Financial Coordinator is the “budget guru”. They are the keeper of the RUHS Wrestling Team Budget for the year. They also coordinate with Coach Cathey and the Team and the parents on the budget requirements and on the fundraisers planned for the year. This person should be comfortable with excel and working with money and numbers. This role can be split into two roles so there is one Fundraising Coordinator and one Financial Coordinator. The Fundraising Coordinator would handle all communication, coordinate volunteers and manage all fundraising activity. The Financial coordinator would be in charge of the budget spreadsheet and keeping track of all team Income and expenditures. Team finances are managed through the ASB Financial office so the financial coordinator would be responsible for submitting monies to the financial office and/or requesting reimbursements from the financial office.

Home Dual Snack Bar Coordinator
Home Duals are a great opportunity for the team to make some extra money by selling Pizza, drinks, snacks and other food items before and during the meet. The Snack Bar Coordinator is in charge of deciding what will be offered in the snack bar and then coordinating food and drink donations and/or cash donations to purchase food and drink items. They keep track of donations received and expenses incurred. They set the menu and decide on the pricing. They also coordinate volunteers to set up and clean up as well as work in the snack bar during the dual. At the end of a dual when the snack bar closes, they count the monies received (with the financial coordinator) and fill out and sign the income tally sheet. They then turn the money over to the financial coordinator unless other arrangements have been made to submit the monies to the ASB financial office.This person should be comfortable with handling money and with numbers. They should also be comfortable with email and the BAND app.
Home Dual Merchandise Sales Coordinator
Home Duals are a great opportunity for the team to make some extra money by selling our team merchandise before and during the meet. The Merchandise Coordinator is in charge of inventorying what Spirit Wear we have available for sale and determining the price points. They also coordinate volunteers to set up and clean up as well as work in the merch table during the dual. At the end of a dual when the merch table closes, they count the monies received (with the financial coordinator) and fill out and sign the income tally sheet. They then turn the money over to the financial coordinator unless other arrangements have been made to submit the monies to the ASB financial office. This person should be comfortable with handling money and with numbers. They should also be comfortable with email and the BAND app.
End of Year Banquet Coordinator
The end of season Banquet is a fun event that is important to both the Wrestlers and their Parents. It is an opportunity to celebrate the team and their accomplishments over the season. The Banquet is a budgeted expense every year so the Banquet Coordinator should discuss expected costs with the Financial coordinator and plan accordingly. The Banquet Coordinator is in charge of the theme for the Banquet, as well as coordinating a location, arranging for volunteers, arranging for food and drinks and decorations and arranging for Audio/Visual equipment and a Photo Booth as needed. They will work with the coach on Trophy/Plaque orders. They will also coordinate with the team captains and the wrestling families on Coach’s gifts and coordinate with the coach on trophy/award presentations. This person should be organized and detail oriented and comfortable juggling a number of tasks. They should also be comfortable working with other people and coordinating volunteers. Being familiar with email and the BAND app is helpful.
Senior Night Acknowledgements Coordinator
At the last or near the last home dual of the season we create a special event to acknowledge our Senior Wrestlers. The festivities typically take place either before or after the Dual. Historically there has been a Wrestler “Walk of Fame” where the Senior Wrestlers Parents Walk the Senior through a cheering line of Cheerleaders or the rest of the wrestling team. At the end of the walk of fame a parent and/or coach’s statement about the Senior is read or played live over the loudspeaker while the senior is presented with their “acknowledgements”. (for example a red and white carnation lei plus a treat or gift of some kind – one year we presented mini red and white bundt cakes, another year we presented specially decorated cookies that were personalized) The Senior Night Coordinator is in charge of organizing the Senior Night event. They pick the theme, arrange for decorations, arrange for gifts & treats for the Seniors. They serve as or arrange for an emcee for the festivities. They coordinate with the parents to put together “parent statements” to be read or played over the loudspeaker when the Wrestler is announced. They may also coordinate with the Coaches for a coach’s statement as well. They arrange volunteers to present the gifts for each Senior and make sure that there are lots of “photo opportunities”.
Athletic Website & Social Media Coordinator
Wrestling is a fun and exciting sport but often is ignored in favor of Football, Baseball and Basketball because those sports get more promotion. This role is about promoting the team and generating interest in supporting it. The more people who come to our Home events the more money we can make via Snack Bar and Merchandise Sales. This person should be comfortable on a computer and with Social Media apps. This role can also coordinate with the Technology/Live Stream coordinator to promote our Livestreams and generate even more support.

Sadly our wrestling pages are very “blank” because no one has been administering it, and we were not allowed to get access to it from feedback from the Althetics Director.

If coordinating/Managing a segment of our Booster operation is not your forté, that is perfectly okay. There are plenty of opportunities to contribute and support the team either by volunteering or offering financial support.
